Keep Venue Commitments Visible

Venue problems often begin with an unrecorded assumption about access, equipment or cleanup. Keep the practical terms where the people delivering sessions can find them.

When to use it

Use this before a new booking period or when several leaders use the same facility.

Put It into Practice

  1. Confirm booked dates, access times, approved activities, equipment permissions and closing requirements with the venue, recording the source and unresolved questions.
  2. Translate the confirmed requirements into a short delivery checklist and identify which responsible person handles damage reports, changes or access failures.
  3. Review the checklist with session leads and compare it with actual use after the first booking; resolve differences directly with the venue contact.

What It Can Look Like

A coach learns that setup access begins fifteen minutes before participants arrive and that borrowed equipment must return to a specific locked area.

Take it with you: A shared record reduces preventable surprises while leaving contractual interpretation and changes with the people authorized to manage the booking.
