Create a Clear Boundary for Shared Passwords

A shared role does not require an account password to circulate through messages. Make routine access dependable using approved account and permission arrangements.

When to use it

Use this when volunteers change or staff rely on a single person's login to publish updates.

Put It into Practice

  1. List the systems needed for each role and identify the account owner, approved access method and person authorized to add or remove access.
  2. Use individual permissions or the organization's approved credential-management process where available; do not place passwords in handover documents, group chats or learning notes.
  3. Review access at role changes and test that essential work remains possible, keeping a recovery route with the appropriate authorized administrator.

A volunteer receives permission to update an event calendar through an approved account role and that permission is removed when their assignment ends.
