Create Cover for One Critical Role
A program is fragile when only one person knows how to open the building or reach the venue contact. Build limited, approved backup for one essential task.
When to use it
Use this when a single absence could cancel delivery or leave others improvising.
Put It into Practice
- Identify one critical duty and document the necessary steps, authorized access and escalation contact without copying passwords or sensitive participant information into a shared note.
- Choose an approved backup with the required orientation and safeguards, then arrange a supervised walkthrough before they are needed in an emergency.
- Test a planned handover and record unresolved questions; confirm who activates the backup and how the wider team learns that responsibility has changed.
What It Can Look Like
A second approved volunteer learns the venue-opening checklist and knows whom to contact if access fails; the original volunteer remains responsible until handover is confirmed.
Your notes stay on this page. They are not saved or sent. Print before leaving to keep a copy.
Take it with you: Backup works through preparation and explicit responsibility, not by assuming the nearest available adult can take over any role.
