Make a Fair Waiting-List Process

A waiting list needs a clear purpose and consistent handling. Families should understand how offers are made without receiving promises the program cannot keep.

When to use it

Use this when demand exceeds confirmed places or when registration rules are unclear.

Put It into Practice

  1. Document the actual ordering or allocation approach, decision owner and any program-specific eligibility criteria, then make the relevant rules available before collecting names.
  2. Collect only necessary contact information and explain how offers, response windows and withdrawals work; keep the list out of shared spectator or volunteer channels.
  3. Track each offer consistently and review exceptions with the authorized lead, recording the reason without exposing another family's circumstances.

What It Can Look Like

A coordinator records the time an offer is sent and the published response deadline, then moves to the next eligible family when that period ends.
