- Define the assistance available, eligibility approach, decision authority and response timeline with the responsible leaders; avoid advertising support that has no confirmed funding.
- Provide a discreet contact route and request only information needed for the decision, with clear access limits and a retention approach for records.
- Explain decisions respectfully and offer available alternatives when support is limited; review anonymized patterns to identify barriers without publishing identifiable family circumstances.
