Use this when a program lacks a consistent cancellation or relocation process.

Put It into Practice

  1. Confirm who has authority to cancel, when the decision is checked and which official channel families should monitor; identify how on-site participants remain supervised.
  2. Draft a short message stating the affected session, date, decision and required family action, adding only confirmed information about alternatives or follow-up.
  3. Test delivery through the approved contact system and assign someone to handle replies, especially transport or pickup changes that require direct confirmation.

What It Can Look Like

An update names the cancelled Tuesday session, confirms there is no replacement venue that evening and tells families when a rescheduling decision will be shared.
