Rehearse the Emergency Communication Chain
A plan becomes more useful when responsible adults practice how information moves. A short tabletop exercise can reveal missing contacts without staging a frightening event for participants.
When to use it
Use this when onboarding leaders, changing venues or reviewing existing emergency arrangements.
Put It into Practice
- Choose one realistic scenario and use the organization's current emergency plan to identify the immediate lead, designated contacts and limits of each person's role.
- Walk through who contacts appropriate emergency services, who supervises the group and how caregivers receive verified information, using hypothetical details rather than real participant records.
- Record gaps, assign corrections and repeat the relevant part after updates; ensure the exercise supports the established plan rather than inventing an alternative protocol.
What It Can Look Like
Staff discuss a hypothetical venue evacuation and discover that the backup lead cannot locate the approved caregiver contact process, then fix access before the next session.
